The Problem

Scaling Challenges

A recruitment agency renowned for matching top talent with leading companies, faced significant scaling challenges due to process inefficiencies. When a client approached with a hiring need, the agency’s HR team would create job postings on LinkedIn and other job portals. As applications flowed in, the team manually shortlisted candidates, collected basic details like expected salary and background information, and conducted initial screenings.

Process Inefficiencies

After gathering basic details, HR had to manually enter all candidate information into tools like Airtable, Notion etc. painstakingly extracting data from resumes. This was both tedious and time-consuming. Coordinating interviews was another major bottleneck, HR had to juggle schedules between candidates and interviewers, often through numerous phone calls. Even after scheduling, HR had to manage reminders for candidates to join interviews

Labor-Intensive Workflow

Post-interview, the process continued to be burdensome. Feedback was collected through Google Forms and manually compiled into detailed candidate reports on Notion. These reports were then emailed to the client, who would decide whether to conduct additional interviews or make selections based on the provided information. This entire process was labor-intensive and prone to errors, draining the agency’s resources and making it difficult to scale operations effectively.
